When you join the golf club you are asked to fill in the membership form. The data collected is set out below.
Information we collect:
* Full Name and title
* E-mail address
* Date of Birth
* Contact number
* Previous club and handicap information
* Membership category you wish to join on and payment method
What we do with the information we acquire:
We require this information to administer your golf membership and provide the services you request from us as a member of the club. This will include the following:
* Internal record keeping
* Sending subscription notices to you, via e-mail or post
* Recording financial information to your account
* Contacting you with relevant club information, including course updates, competition information and changes to membership fees
* Keeping a record of any handicap information and competitions played (including your
CDH number as required by England Golf)
* Providing this CDH information to any other clubs, England Golf or Northumberland Union of Golf Clubs, who may require this for competitions, general play or joining another club as a new member.
The information you provide is kept on our members database, Club V1 Systems and BRS Golf Tee booking system. Club Systems and BRS Golf have their own privacy policies in place which can be requested directly from them. Any paper information is kept in a locked office for a period of time and then destroyed.
We will keep the information for as long as you are a member and for a 6 month period afterwards. This will allow us to reinstate any memberships who have lapsed but wish to rejoin within a short period of time.
Once this time period has passed, if a previous member wishes to reinstate membership, a new membership form would have to be completed.
It is imperative that information is kept up to date. Therefore if there are any changes to names, addresses, e-mail addresses or phone numbers please contact us as soon as possible and we can change our database.
Third Party Data Sharing
We won't share your information with any company outside Longhirst Hall Golf Course. Your information will be shared with the Professional Shop currently trading as Original Green Ltd. This is to allow members to receive current news and offers, as well as contact regarding lessons and competitions. If you do not wish to receive information from the Pro Shop they have an unsubscribe button on the bottom of their emails.
In certain circumstances other members may need to contact you regarding organising matchplay events/competition play. The competition sheets will normally have space for you to put contact information next to your name. By personally doing so you are effectively giving permission for that person to contact you. Please do not put address details down, only telephone number or email address.
Information we do not need to collect
You will never be asked to provide us with:
* racial or ethnic origin
* political opinions
* religious or philosophical beliefs
* trade union memberships
* genetic data
* sexual orientation
Health information will only be required in instances which will be beneficial to the member. For example, if a member has a condition that they wish for us to be aware of, in case of urgent medical care whilst visiting our facility.
If a member requires a buggy to be reserved on medical grounds we may ask for a Doctor's note to state that member can not play without a buggy.
We take your privacy and data protection seriously and are committed to ensuring that your information is secure. We have in place suitable physical, electronic and managerial procedures to safeguard the information that is given to us.
We will not transfer your information with any international third parties.
You have the right to access your data at any time and withdraw your consent to use data. Please be aware that withdrawing all methods of contact will make it difficult for us to inform you with important club information, including financial billing. It would be down to the individual to then approach the club at the correct time to pay their bill as no subscription notice could be sent.
Should you wish to do so further information can be obtained from the Information Commissioners Office.
Information stored will often include name and contact information – for example, e-mail address, phone number and/or address.
We will never disclose this information with any third party. The information will be stored and used with the sole purpose of administration regarding your visit. Paper society information will be held within a locked office and kept for no longer than 3 years. Society Database is kept on file on the office computer for a maximum of 5 years. This information will be used to look back on previous pricing and society requirements. On the odd occasion we may use this information to contact you regarding society offers we think you may be interested in.
